Service Provider – Executive Event Production

Request for proposals: service provider for the production of an event promoting France as a destination for feature film and TV productions.
Institut français des Etats-Unis / Villa Albertine (IFEU-VA), in partnership with The CNC (French National Center for Cinema and Moving Images), is looking for a service provider to organize the “U.S. Filmmaking in France: The French Experience” event in Los Angeles on October 29, 2025 to promote France as a destination for feature film and TV productions. The event will be held at the Directors Guild of America venue, in cooperation with The American French Film Festival (TAFFF), which will take place at the same time and venue, from October 28 to November 3.
This request for proposals for Executive Event Production, encompasses the executive production of the event and logistics, including catering services.
I. Context
As competition for audience attention is intensifying, with consumers becoming increasingly demanding in terms of content quality while budgets remain restricted, a certain tension has emerged, pushing the industry to seek filming locations that combine high production value with financial incentives. As a result, a fierce competition has emerged between countries, each striving to attract international productions through tax rebates, subsidies, and world-class infrastructure.
In this context, France is determined to position itself as a global leader in feature film and television production.
IFEU-VA is a division of the French Embassy in the United States, that aims to build partnerships between French and American artists, institutions, and universities on both sides of the Atlantic. The Film & TV department is in charge of promoting French content in the US; accompanying French talents and professionals in the US market; and promoting France as a destination for production. In LA, the Film & TV Liaison for US Production specifically oversees this third mission.
The CNC (French National Center for Cinema and Moving Images) oversees the promotion of France as a destination for film and TV productions and has increased the resources allocated to this mission. A department (under the brand Film France-CNC, the French Film Commission) coordinates local film commissions throughout France; advises international players regarding the tax rebates for international productions; and ensures the promotion of all French production tools (line producers, technicians and artists, filming locations, visas, permits, and service providers).
As part of this increased effort and in addition to actions led in France, IFEU-VA, in partnership with the CNC, is looking for a service provider who can take charge of the promotion and production of the “U.S. Filmmaking in France: The French Experience” event. In 2024, a similar event organized by both institutions gathered around 100 producers and studio executives.
II. “U.S. Filmmaking in France: The French Experience” Event
The event will consist of a morning and luncheon event to promote France as a top destination for feature film and TV productions to an audience of American professionals (studios, streamers, producers, executive producers, directors, showrunners, scriptwriters, location scouts, production designers, and movie tax experts).
A delegation of French professionals, specifically designated by the CNC, will take part in this event.
Date: Wednesday, October 29 from 8:30 AM to 1:30 PM
Location: Directors Guild of America (7920 W Sunset Blvd, Los Angeles, CA 90046)
In cooperation with the American French Film Festival, the event will take place at the same time as the festival.
Schedule:
Registration & Coffee
Morning: Two Parallel Formats
- Dynamic inspirational collective conference format including keynotes, fireside chats, case studies… (for an audience of up to 130 people)
- One-on-one business meetings between the French delegation and U.S. professionals (up to 15 simultaneous meetings).
Lunch: Buffet for the delegation and U.S. attendees (up to 130 people)
Target Audience:
- French delegation of 15 to 35 people (CNC, IFEU-VA, Production Services Companies, filming studios, VFX studios)
- American professionals (studios, streamers, producers, executive producers, directors, showrunners, scriptwriters, location scout, production designers, and movie tax experts)
- 130 people max
The Event
The service provider will be responsible for the following elements and must include them in their proposal:
- The conference’s set up (lighting, sound, microphones, furniture, communication/media – trailer, posters, logos…) in coordination with the DGA and TAFFF technical staff.
- Conference management (overseeing the schedule and moderators’ and experts’ welcome, departure, and speeches; coordinating with and managing speakers before and during the event)
- Projection of slides, sizzles, marketing materials, film sequences, etc., and preparation and coordination with the screening room’s projectionist.
- Production and distribution of badges to the 130 accredited guests.
- Production and management of the guests’ check-in table on location.
- Event decor and printing of marketing materials, in coordination with TAFFF staff.
- Searching for caterers and menu proposals for lunch (up to 130 people), welcome breakfast (for up to 130 people), and coffee during the entire event.
- The set up of one-on-one meetings rooms (15 tables with 4 chairs each, easels with logos of French companies) – furniture to be coordinated with the TAFF.
Note: Attendees will be paired or grouped together for the one-on-one business meetings directly by the CNC and IFEU-VA. The venue rental will also be handled by IFEU-VA.
III. Specifications
Total Budget: Between $50,000 and $60,000
The total budget must include all estimated expenses (coordination with the theater, technical direction, production, furniture, material, and catering).
Note: the proposal should not include venue rental fees as the venue has already been secured by IFEU-VA.
The financing of the “U.S. Filmmaking in France: The French Experience” event will be managed by the Film & TV department of IFEU-VA.
Location and Duration of Service
The service will be carried out in Los Angeles. The duration of the mission will begin upon notification of the contract with the selected service provider and will end upon proposal of a detailed schedule from the service provider.
Terms and Conditions
The proposal will be evaluated according to the following criteria:
- Description of each service and methodology: 20 pts
- Retroplanning: 20 pts
- Expertise and competence in all domains: 20 pts
- Total cost and breakdown of the budget: 40 pts
The contract will be signed under US law.
IV. Selection Process and Timeline

Timeline

- June 25: Applications reviewed by the CNC and IFEU-VA

- July 1, 2025: Project begins
